Definitions of Extension Publications

All Tennessee Extension materials are classified and issued in one of the following numbered series:

1. Extension Publication (PB) — a booklet, manual or leaflet printed for general distribution or for specific audiences within the general public. Generally eight pages or longer.
    A. Requires submission to reading committee for peer review.
      B. After peer review and approval by appropriate assistant/associate dean, material must also be approved by department head.
      C. Listed in Extension publication catalogs.
      D. Print version stored and distributed by the Ag Campus Office & Supply Room; may also be posted on Extension publications Web site.

2. Special Publication (SP) — smaller publications, brochures, charts, posters and other program materials for general distribution or for specific audiences within the general public. Generally shorter than eight pages.
     A. Requires submission to reading committee for peer review.
        B. After peer review and approval by appropriate assistant/associate dean, material must              also be approved by department head.
        C. Listed in Extension publication catalogs.
        D. Stored and distributed by the Ag Campus Office & Supply Room; may also be posted              on Extension publications Web site.

3. Web Publication (W) — educational/informational materials that exist only in electronic format.       
      A. Requires submission to reading committee for peer review.
      B. After peer review and approval by appropriate assistant/associate dean, material must           also be approved by department head.
      C. Listed in Extension publication catalogs in separate section as "Available only on the            World Wide Web" with the Extension publications Web site address.

4. Departmental Info sheets (Info) — material designed for limited distribution to special groups from the department or for training with internal audiences.
    A. Numbering system assigned and maintained in department.
      B. Does not require peer review.
      C. Requires approval of department head.
      D. Not listed in popular publication catalogs.
      E. Stored and distributed by the department.

5. Extension circular (EC) — material designed for limited distribution to special groups from the department.
    A. Does not require peer review.
      B. Requires approval of department head only.
      C. Not listed in popular publication catalogs.
      D. Stored and distributed by the department.

6. Special Circular (SC) — material designed primarily for educational purposes, by Extension specialists for agent and leader teaching and training.
    A. Requires approval of department head.
      B. Not listed in popular publication catalogs.
      C. Stored and distributed by the department.

7. Extension Form (F) — administrative forms, record books, enrollment cards, certificates, report forms and all other forms for general or limited distribution.
    A. Requires approval of department head.
      B. May be listed on supply order form, 4-H literature order form and/or in popular publication           catalogs, depending on usage.
      C. Stored and distributed by department or Ag Campus Office & Supply Room, depending           on usage.


Assignment of Numbers

The appropriate publication editor assigns all numbers for printed materials, except as noted in number 4 above. State printing numbers (based on account numbers) are also assigned by the publication editor.

The state printing number must appear as a part of the indicia (EEO statement) on the outside cover of all printed Extension materials. Also, the UT logo, including the words "The University of Tennessee Agricultural Extension Service" must be prominently displayed on the front cover of the material.
